Real-Time Hauler Invoice Imports Into Accounting Software

In the past, the process for handling waste hauler invoices has been done manually, which can be very time-consuming and labor-intensive. IntellaWaste will adapt to all accounting software and will completely automate this step for its users. Customer Contract Monitoring for Waste Brokering & Waste Consulting Accounts

Oftentimes there are a lot of complexities that go into the different variables for waste hauling contracts. In most cases, this is by design directly from the hauler, making it very difficult for the end user to identify price discrepancies. By using the IntellaWaste system, we have simplified the entire process, and our clients will be able to find even the smallest overbilling events. Taking the process a step further, all IntellaWaste customers will realize the benefit of sample contracts and addendums, which they can utilize throughout their process to ensure reliability for their business.

Service Level Tracking

IntellaWaste will track and manage service levels for all customer accounts no matter which program the customer is enrolled in. It will display the number of containers, size of container, type of service, and frequency of pickup. By determining the types of service at a location along with total yards/tons of waste produced we will be able to report real-time landfill diversion for our customers.

Automatic Invoice Uploads & Parsing

Gathering all hauler invoices monthly can be very time-consuming and challenging for brokers, consultants, and corporate clients. In a lot of cases this activity has been a very manual process. This information is required prior to being able to invoice customers. We have automated this approach and once an account is set up on the IntellaWaste platform there will be little to no employee interaction required. Each invoice will be assigned to the appropriate customer location and available for viewing and tracking indefinitely.

Once an invoice is imported into IntellaWaste, the software will read each line item on the invoice and will also allow the end user to view a PDF version. The line items will be displayed for easy viewing and management.

Hauler Contract Tracking & Invoice Auditing

Each hauler contract will need to be tracked and managed within IntellaWaste to ensure that a particular hauler invoice isn’t being billed beyond its contract terms. Most of the hauler contracts are for a 12- to 60-month term and the haulers are allowed pricing increases within specific timeframes throughout the contract. There will also be percentage charges along with one-time services that will be allowed and clearly defined for easy auditing.

Hauler Overbilling Case Management (Price Discrepancies a.k.a. PDs)

Once it has been determined that a location is being overbilled for service beyond the defined contract terms, it is extremely important that the issue is addressed immediately. Otherwise, there is a risk of overpaying that invoice and making it more difficult to receive credit from the hauler on a future invoice. In some cases, by paying that discrepant invoice, the waste hauler will attempt to recognize the payment received as acceptance and will force the broker/consultant to adapt to a new pricing model, which is never in their favor.

When you have a paper invoice or a batch of paper invoices, you will be able to scan as many invoices needed into one PDF document, upload that document into IntellaWaste and it will automatically filter, sort, parse and assign to the correct customer location.
